Time management techniques for a successful working day

In today's hectic world, we are often overwhelmed by a flood of tasks and easily lose sight of the big picture. There are days that fly by without you really knowing what you have actually achieved that day. Constant accessibility via various channels such as email, Teams or phone makes it increasingly difficult to focus on a task without feeling like you're missing something important. In this blog, we share our experiences and tips that have helped our team to organise their day-to-day work more efficiently. ⏳

#StoptheChaos: Get started with a structured daily schedule

Before you start the day, take a moment to think: Which task is really important today? What absolutely has to be done and what can wait? Review your to-do list and be realistic. You can then create a to-do list📑 or reserve blocks of time in your calendar to ensure that you keep your priorities in view and stay productive.

#HowToPrioritise: Master prioritisation with these two techniques

Certain organisational methods can help us to organise our everyday lives efficiently. One of our favourites is the «Eat the Frog» Method 🐸, where we do the most unpleasant task first. This reduces thoughts of putting the task off.

Another technique is the Eisenhower principle. This method categorises tasks into four groups:

  • Important and urgent
  • Important, but not urgent
  • Unimportant, but urgent
  • Unimportant and not urgent.

This categorisation allows us to concentrate on the essentials and delegate or postpone less important tasks. It helps us to stay focussed in stressful situations. Ultimately, you have to try it out for yourself and decide which techniques work best for you personally.

#ToolsOfSuccess: A clear overview and success with the right tools

Tools can provide valuable support. We use Teams in conjunction with the Planner, to structure our projects. We have separate teams for different projects to enable a targeted exchange. We record all project phases and tasks in Planner - simply and clearly. Each project has a maximum of four phases that contain detailed tasks. However, make sure that you don't fall into organised chaos by creating too many phases or individual tasks. 😉

However, sometimes there are smaller to-dos that cannot be mapped in a project. For these, we use a simple digital to-do list. Do you know that fulfilling feeling when you can cross something off your list? An additional and simple motivation boost.💥

#MuteModeOn: Sound off - productivity on

One drastic change is to turn off notification sounds. Every ‘bling’ of a new message distracts us consciously or subconsciously from our tasks and tempts us to multitask. By setting specific times for processing emails, we were able to reduce distractions and focus on the important tasks again. 🔇

#MotivationReload – Regular breaks for the energy boost

We find it particularly difficult to take regular breaks, when working from home. But they are fundamentally important. We often think we are more productive when we are working through, but regular breaks strengthen our concentration and replenish our energy levels.
